In this privacy policy, we, Robert Rieffel AG, describe how we process your personal data when you are in contact or communicate with us as a supplier, customer, subcontractor, parking space tenant, website visitor, applicant, employee or in any other capacity.

If you transmit or disclose data about other persons to us, such as your employees, colleagues, family members or your customers, we assume that you are authorised to do so, that this data is correct and that we may process it as described here. By transmitting data about third parties you confirm this. Please also ensure that these third parties have been informed of this privacy policy.

The protection of your privacy is important to us. We naturally process your data only as permitted by the Swiss Data Protection Act.

1. Who is responsible for processing your personal data?

2. Which personal data do we process and for what purpose?

2.1 Customers and suppliers
a) Customers: if you are our customer or supplier, we process the data we receive from you about yourself, your employees or your customers (name, address, email address, bank details), the related correspondence (orders, order history, means of payment, case handler, invoices, reminders, other contractual correspondence) and further documentation arising in connection with the order (customer source, documentation of services) in order to process the corresponding orders, including warranty cases. As a customer you may also receive our newsletter and other marketing communications, which you can decline at any time.

b) Promotional items: if you purchase printed or engraved items from us, we process the data we receive from you about yourself and, where applicable, about your customers in order to fulfil the corresponding orders (e.g. company or club affiliation, names, contact details).

c) Video surveillance: our showrooms, logistics and outdoor areas are partly under video surveillance for security reasons. We pass this data on to the authorities in particular in the event of misuse (e.g. theft, damage to property or trespass, etc.).

2.2 Tenants of parking spaces or premises
a) Parking spaces: if you rent a parking space or office space from us, we process the information you provide (company name, address and name of the person, means of payment, etc.) in order to invoice the rental. Please note that the parking spaces are located on video-monitored premises and that access to premises may lead through areas monitored by camera (more information above under “Video surveillance”).

2.3 Personnel
a) Applicants: if you apply to us, we process the data we receive from you (personal details, contact details, application file, salary expectations, work references) and, where applicable, references obtained from persons named by you, in order to assess your suitability for the vacancy. If you are hired, this information goes into your personnel file. In the event of a rejection, we keep this data for a further 4 months to document compliance with the relevant legal provisions and, unless you object, for a further 6 months to consider you for other vacancies.

b) Employees: if you are employed by us, we process your data (all information received from you, including information about your dependants, e.g. for family allowances or emergency lists), information about your position (salary, job description, etc.), data on business expenses or travel (expense receipts, travel data such as flight or hotel, credit card data, etc.) and communication data (email, phone calls, etc.) and, where applicable, health data (e.g. medical certificates) and other data (e.g. your deployment data, absences, data on your performance) in order to administer the employment relationship.

c) Former employees: if you were employed by us, we process your data (personal details, period of employment, function) in order to invite you to company events.

2.4 Website, online campaigns and social media
a) Website visitors: when you visit our website, we process the associated access data (website visited, time of access, source/referrer from which you reached the page, browser used, operating system used, IP address used) in order to enable use of the website (establishing the connection), to ensure system security and stability, to optimise our online offering and for internal statistical purposes.

b) Tracking: we use tracking technologies on our website in order to analyse and optimise the use of our website, to measure the effectiveness of our online campaigns and to address target groups in a targeted way.

c) Contact form: when you contact us via the contact form or in any other way, we process your personal data in order to answer your enquiry.

2.5 Other purposes
We may also process the above data in order to comply with legal obligations and official orders, including communication with authorities and courts, and to enforce and defend legal claims.

3. To whom do we disclose your personal data?
In the course of our business activities and for the purposes set out in section 2, we also disclose certain data to third parties, where permitted and where it appears appropriate to us, either because they process it for us or because they wish to use it for their own purposes. In addition to the bodies possibly already mentioned in section 2, these are in particular the following third parties (together the “recipients”):

- service providers (e.g. banks, insurers, travel service providers, credit reporting agencies), including processors (e.g. IT providers)

- credit reporting agencies (payment experience), social insurance institutions, authorities

- customers, dealers, suppliers, subcontractors, debt collection companies, manufacturers, forwarders and other business partners

- certain data is also published (e.g. on our website, on our social media pages, in newspapers or in some cases also in quotations) and is thus accessible to everyone

- we also provide references, provided the employee has permitted us to do so in writing.

- authorities or other third parties, if we are legally obliged to do so or if it is necessary to safeguard our interests, e.g. to combat misuse or protect rights, as well as other parties in possible or actual legal proceedings.

We also have a profile on various social media on which we provide information and interact with customers and other interested parties. Please be aware that the providers of these platforms themselves determine which data they process about you and what they do with it.

Otherwise, we only pass on personal data to third parties if this is necessary to achieve the purposes described in this privacy policy or for our business activities, if this is provided for by law or in an order, if it is necessary to enforce our legal claims or if you have given your consent. You can obtain further information about the disclosure of personal data from the contact point named in section 1.

4. Is your personal data transferred abroad?
The recipients are in principle located in Switzerland. In certain cases, however, we may also disclose personal data to IT service providers and other recipients (e.g. social media, Google Analytics) located abroad (in particular in EU countries, especially Germany, in safe third countries and in the USA). If we transfer data to a country without adequate legal data protection, we ensure an adequate level of protection, as provided for by law, by using appropriate contracts (in particular on the basis of the so-called standard contractual clauses) or other measures provided for by law, or we rely on the statutory exceptions, in particular your consent, the conclusion or performance of the contract or the establishment, exercise or enforcement of legal claims. 5. What rights do you have?
Persons whose data we process have the right to request information about the data processed about them and to have it corrected or deleted.

Insofar as our processing is based on consent, data subjects have the right to withdraw this consent at any time with effect for the future.

To exercise such rights, data subjects can contact the address mentioned above in section 1. We will process these requests in accordance with the Swiss Data Protection Act and, in accordance with the statutory provisions, may also refuse them or comply with them only to a limited extent.

We use cookies on our website. These are small text files stored on your device.

We use such cookies to enable better use of the website (e.g. storing your language selection). We also use cookies to compile statistical evaluations of the use of our website.
